The whole job, one flow

An urgent call, dispatched to paid

The walk-in cooler call lands mid-morning. Watch the dispatcher slot it, the technician run it with photos and a signature, and the emergency invoice appear in QuickBooks Online — the whole loop in 14 seconds. That is the loop dispatch software should close.

Built around the board

What the dispatcher's day looks like

Four technicians, eleven jobs, one emergency about to land. This is software built for that hour.

The morning board

Every technician's day in columns, every job draggable. A cancellation opens a slot? Drag the waiting-list job in. The change is on the technician's phone before you have put the coffee down — and overdue jobs turn red on their own.

The emergency insert

Urgent call: the live GPS map shows who is closest and who is between jobs. Drop it on them — the customer's notes, the address and the gate code travel with it. No “where are you?” texts.

Zero status calls

On the way, arrived, running, done — technicians tap, the board updates, customers can get automatic notifications. The dispatcher stops being a switchboard and starts actually dispatching.

Emergency dispatch

The 3pm call, dispatched in under a minute

The emergency always comes at the worst hour. Without a board it costs four phone calls and a guess. With one, the answer to “who can take this?” is on screen — and the premium you charge for it reaches the invoice instead of getting lost.

  1. See who is actually closestThe map plots technicians and today's jobs together, updating through the day — not where they were dispatched this morning.
  2. Drop it on their dayOne drag inserts the call. The address, the fault description and the site access notes go with it to the phone, instantly.
  3. Charge for the disruptionEmergency labour rates and the part come off the work order and onto the QuickBooks Online invoice, itemised, the same day.

Terminology

Dispatch software, scheduling software or a shared calendar?

Buyers search for this category under half a dozen names, and vendors are not consistent either. Here is what the terms usually mean, so you can tell whether you are being sold the thing you need.

TermWhat it usually meansWhere Repair-CRM sits
Dispatch softwareThe general term: assigning field work to people and tracking it live. Also used in trucking and freight, which is a different product entirely.Field service dispatch, not freight. Jobs at customer sites, done by technicians.
Service dispatch softwareThe rhythm of a service company: a daily board of maintenance and repair calls, emergency inserts, and invoicing at the end.Exactly this — with per-asset service history, recurring contracts and QuickBooks Online at the end of it.
Job dispatching softwareThe same thing, named after the unit of work: the individual job or work order pushed to a technician.Every dispatched job is a full work order — parts, labour, photos, signature.
Scheduling softwareBooking work into time slots. Planning ahead rather than reacting today. Both: suggested time slots and recurring rules live on the scheduling & dispatching page.
A shared calendarAppointments in a grid. No job detail, no status, no history, no invoice.Where most of our customers come from — usually at 3–4 technicians, when jobs start slipping.

Who it's for

Trades that run their week on this board

Equipment-heavy trades get the most out of per-asset history and recurring contracts — the cooler, the rooftop unit, the dock door and what failed on it last time. Every trade gets the board, the map and the mobile dispatch.

QuickBooks Online

Dispatching that ends in the books

Dispatch software that stops at “job completed” leaves the worst part — invoicing — to your evening. The last dispatch decision of every job is “now invoice it”. In Repair-CRM that is one click: the documented service call becomes an itemised QuickBooks Online invoice, emergency rates and all.

  • Two-way customer & product sync with QuickBooks Online, real time, on every plan
  • One-click invoices from finalised jobs — hours from the timer, parts from the synced catalog, all itemised
  • No double entry — the job your technician documented is the invoice your bookkeeper sees
  • Listed on the Intuit QuickBooks App Store · see exactly what syncs →

When we're not the right pick

  • You run QuickBooks Desktop. We sync QuickBooks Online only — Intuit FSM covers Desktop Enterprise.
  • You need automatic route optimisation. Our GPS map is live, but stop sequencing is manual; Jobber automates it.
  • You dispatch 20+ trucks. Small teams are our lane, deliberately.
  • You want a full marketing and sales suite. We dispatch, document and invoice; we don't do campaigns.

Saying this out loud saves you a trial and us a churned account. If one of these is you, the honest answer is somewhere else.

FAQ

Dispatch software — common questions

What is dispatch software?
Dispatch software assigns field jobs to technicians on a calendar or live map, pushes the job details to their phones instantly, and tracks status in real time — replacing whiteboards, spreadsheets and group texts. Repair-CRM adds a GPS technician map, one-tap mobile status updates, photos and signatures on every work order, and one-click QuickBooks Online invoicing, at $19–$179/month flat.
What's the difference between dispatch software, service dispatch software and job dispatching software?
They describe the same category from different angles. Dispatch software is the general term. Service dispatch software emphasises the rhythm of a service company: a daily board of maintenance and repair calls, emergency inserts, and invoicing at the end. Job dispatching software emphasises the unit of work — the individual job or work order pushed to a technician. Repair-CRM covers all three under one roof.
How does it handle urgent same-day service calls?
The live GPS map shows who is closest and available; the dispatcher drags the emergency onto their day and it lands on their phone instantly with address, notes and access details. Statuses flow back live, so the office and the customer both know when help arrives — and emergency labour rates carry through to the QuickBooks Online invoice.
How is this different from a shared calendar?
A shared calendar shows appointments; dispatch software closes the loop. Jobs carry customer details, equipment history, photos and signatures; statuses report back live; a GPS map shows who's closest; and the finished job becomes a QuickBooks Online invoice in one click.
Does the dispatch software work with QuickBooks?
Yes — QuickBooks Online, two-way and real-time: customers and products sync both directions, finalised jobs become itemised invoices. Listed on the Intuit QuickBooks App Store. QuickBooks Desktop is not supported. For a full market comparison see our Best QuickBooks Dispatch Software page.
Can technicians see dispatched jobs on their phones?
Instantly — iOS and Android, with the address, time window, job notes and the asset's service history. One-tap status updates flow back to the office dashboard, and the app works fully offline with auto-sync when signal returns.
How many technicians is it built for?
Teams of 1 to 20 technicians. Small service companies are the deliberate focus. Past roughly 20 technicians an enterprise field service suite will serve you better, and we'd rather say so now.
Does it handle recurring maintenance jobs?
Yes. A recurring rule generates the next job on schedule — weekly, monthly, quarterly or seasonal — with the client, site, asset and job type prefilled. Generated jobs join the unscheduled queue, so contract work is dispatched deliberately rather than disappearing.
Does Repair-CRM optimise routes automatically?
No. The GPS map is live and shows who is closest to a job, but stop sequencing is manual. If automatic route optimisation is the feature you're buying on, Jobber or a routing-first product is the better fit.
How much does dispatch software cost?
Repair-CRM: $19/month (1 user), $89/month (2–5 users), $119/month (6–10), $179/month (11–20) — flat monthly pricing, no per-user surprises, no contract. 14-day free trial, no credit card. Pricing as of September 2026.
